Tatenhill Airfield (EGBM)
Cancellation & Booking Policy
1. General
This policy applies to all flight training lessons, aircraft hire, and related bookings made with Tatenhill Airfield (EGBM). By making a booking, customers agree to the terms set out below.
2. Flight Training Lessons
• More than 48 hours’ notice:
No charge will apply for cancellations made more than 48 hours prior to the scheduled lesson time.
• Within 48 hours of the scheduled lesson:
A fixed cancellation charge of £50 will apply. This charge will be waived if Operations are able to find another student to fill the vacated slot.
• Within 24 hours of the scheduled lesson or No Show:
Cancellations made within 24 hours, or failure to attend without notice, will incur a charge of £40 per hour of the booking slot.
3. Self-Hire Aircraft Bookings
• More than 24 hours’ notice:
No charge will apply for cancellations made more than 24 hours before the booking start time.
• Within 24 hours of the scheduled booking:
Cancellations made within 24 hours will be charged at £40 per hour of the total booked aircraft time.
• No Show:
Failure to attend without notice will also be charged at £40 per hour of the total booked aircraft time.
• Fair Usage:
Following feedback from pilots who were unable to fly because aircraft were booked for extended periods but rarely used, we are introducing a Fair Usage Policy.
For any booking of a Tatenhill Aviation aircraft exceeding 2 hours, if the aircraft is not used for the majority of the booked time, a minimum charge will apply. In such cases, 50% of the total booked time must be paid for.
Example:
If an aircraft is booked for 4 hours but used for only 1 hour, payment will be required for 2 hours (50% of the booking).
4. Exceptions – No Cancellation Fee
No cancellation fee will be charged in the following circumstances:
• Adverse weather conditions that, in the reasonable opinion of Tatenhill Airfield Operations or the instructor, make the flight unsafe or unsuitable.
• Aircraft unserviceability or operational restrictions imposed by the airfield.
• At the Flight Coordinator’s discretion for extreme circumstances, we may reduce or waive the fee
Customers are expected to notify Operations as soon as reasonably practicable.
5. Overnight Aircraft Bookings
All overnight aircraft bookings are subject to approval at the discretion of Tatenhill Airfield. Overnight bookings will only be confirmed once approval has been granted by Operations. Tatenhill Airfield reserves the right to refuse or amend overnight bookings due to operational, weather, or aircraft availability considerations.
6. Operational Discretion
Tatenhill Airfield reserves the right to waive or amend charges in exceptional circumstances, taking into account safety, fairness, and operational requirements.
